Follow a transaction all the way to the investor books
Trade-by-trade accounting starts with the investment transaction, but a hedge fund also needs to account for cash, costs, valuations and investor activity. A useful evaluation follows a transaction from the broker file through the books and into the fund's reporting.
Keep three responsibilities distinct: portfolio accounting records investment activity; investor accounting maintains capital balances and allocations; fund administration is a contracted service with assigned responsibilities. Buying software does not appoint an independent administrator.
Trade allocation across separate brokerage accounts is covered in the Managed Accounts guide. This page addresses pooled-fund accounting. Browse Fund Accounting providers.
Evaluate the books, feeds and controls
| Ask about | What to demonstrate |
|---|---|
| Transaction capture | Import fills, commissions, financing, cash and corrections from your actual broker formats using anonymized or synthetic data. Show duplicate detection, missing events and the link back to each source. |
| Instrument accounting | Name the actual Forex, futures, options, CFD or digital-asset contracts you need. Demonstrate trade and settlement dates, contract size, currency conversion, realized/unrealized profit or loss and applicable margin or financing events. |
| Books and ledger | Identify the investment book of record (IBOR), accounting book of record (ABOR) and general ledger where offered. Trace a transaction to its journal entries, position and cash balances. |
| Reconciliation | Compare broker, custodian and internal records. Show an unmatched fill, a cash difference and a stale price, plus who resolves and approves each exception. |
| Valuation and NAV | Demonstrate the agreed pricing sources, valuation time, expense accruals and net asset value calculation. Show sign-off and what happens when a price is corrected after a close. |
| Investor capital and fees | Demonstrate subscriptions, redemptions, classes or series, investor allocations and the actual fee terms. Where relevant, test high-water marks, hurdles and equalization instead of assuming a headline fee feature covers them. |
| Reporting and audit trail | Trace an investor statement back to capital activity, allocations, fees and the fund books. Export transaction-level history, changes, approvals and period-end reports. |
| Implementation and ownership | Separate licensed modules, managed operations and independent administration. Agree data migration, historic balances, reconciliation responsibilities, service levels, access controls and exit exports. |
A demonstration that exposes the gaps
Prepare a synthetic case with an opening portfolio, two investors and explicit fee terms. Add an investment purchase with a transaction charge, a partial disposal, a valuation change and an investor subscription during the period. Use your administrator's or accountant's agreed expected results.
Ask the vendor to show the source transactions, positions, cash, journal entries, reconciliations, NAV and both investors' capital statements. Then correct the original trade and repeat the close. The correction should be explainable from the retained history.
This is an evaluation script, not an accounting policy. For a commodity pool operator (CPO), exact contract treatment, required statements and jurisdiction-specific outputs remain Requires Verification until the provider and your advisers confirm the implementation.

Choose against an agreed acceptance record
Keep a matrix of each requirement, its source, the demonstrated result, any unresolved exception and the person responsible. Ask for sample exports and a written implementation scope. A sales demonstration can show a capability; it does not prove your feeds, fund documents and reporting requirements have been implemented.
Decide who owns daily reconciliation, pricing exceptions, NAV approval, investor records and regulatory reporting. Record those responsibilities separately from the software features. Read our research methodology for the limits of this directory's documentation review.
